SunGarden Montessori in West Linn, OR has an immediate opening for a new Administrative Director. SunGarden is a private AMI-recognized Montessori school with a well-established 40-year history in the community. Tucked into a cozy neighborhood with a fully integrated indoor/outdoor learning environment, this not-for-profit school is home to 2 Primary communities as well as a small Toddler community, serving children aged 15 months – 6 years. Mission-driven in all that we do, SunGarden strives to offer an optimal Montessori experience for all children and adults, aiding in the development of the whole child at all times. We have a dynamic parent organization, as well as a strong core staff that includes AMI credentialed Lead Guides. We are seeking a quick and organized Administrative Director who ideally has experience in early childhood education.

Compensation: Negotiable

Employment type: Full time

Hours: This is an exempt position with hours from 7:30-4:30 all school days, with some additional tasks and events that may be required of the role.

The Administrative Director works alongside the Head of School to ensure that the students receive the best possible education, and an all-around excellent experience. He or she is in charge of parent outreach and ensuring the school grows and/or remains consistently at full enrollment.

Roles and Responsibilities:

• Administrative Supervision and Internal Communication

• Assist HOS in operational and business management duties

• Oversee scheduling, including teacher scheduling and coverage issues in the case of absences

• Parent Communication and Customer Service

• Ensure frequent, high-quality parent communication from teachers and other administrative staff, monitoring and providing feedback in particular for issues with quantity, quality, tone and style

• Maintain a presence and interact with parents during pick-up and drop-off times

• Facilitate the signup for Parent-Teacher Conferences for school

• With the HOS, supporting particularly difficult or high-level students or staff

• Ensure that currently enrolled families feel connected to the school and are happy with their experience

• Compile and send both weekly communication from the office and our monthly newsletter

Community Outreach:

• Communicate the value of Montessori to prospective families during one-on-one visits and tours

• Participate in scheduled outreach events (examples: open houses; prospective parent information evenings, school fairs)

• Provide tour notes and relay prospective parent information to administrative staff for further follow-up and data entry

• Act as an ambassador for the educational quality of the school

• Handle particularly problematic or high-level phone calls


• Monitor facilities issues for school

• Supervise repairs and maintenance

• Supervise improvements to school

• Prepare monthly list of any new or ongoing facilities issues

Administrative Duties:

• Assist with billing, payroll, reimbursements, bank deposits

• Categorize expenditures and correspondence with bookkeeper on accounting topics

• Order supplies (Amazon, Montessori Services, Neinhuis etc.)

• Update and/or file various forms / logs / reports / paperwork / files

• Community Event Planning i.e. reserve space through West Linn Parks and Rec

• Update daily whiteboard with schedule (for staff)

• Create weekly chalkboards and reminders for families

• Manage schedule of internal meetings

• Manage After Care attendance and ensuring adequate staff coverage to ensure ratios maintained

• Assist with auction planning

• Perform other duties as assigned

Position Requirements:

• Experience with the Montessori philosophy of education strongly preferred

• Substantive leadership / management experience required (school leadership experience strongly preferred)

• School administration or other operations experience, with developed ability to solve complex operational problems

• Ability to establish and actively maintain a strong, positive school culture, orienting team members around our educational vision and inspiring them to achieve it in practice

• Passion for the Montessori philosophy of education, actively pursued and nurtured

• Dedication to quality and service to each individual child and family

• Excellent verbal and written communication skills

• Experience with QuickBooks a plus

• Growth mindset and problem-solving approach

• Ability to embrace and exemplify our school’s values

• Must meet state requirements for early learning division
